Privacy Policy

1. Our Products

Once installed, our products process your business data (emails, leads, invoices, call audio, client lists, documents, social media content) entirely on the computer they're installed on. That data is never transmitted to Ubwiru AI's servers or any third party by the product itself. Each product does communicate with a local AI engine running on the same computer — not the internet.

The one exception: Ubwiru Onboarding Agent sends emails via your own SMTP provider (e.g., your email host) as part of its core function — that's mail going to your own configured account, not to us.

2. This Website

When you use ubwiruai.com, we collect and process:

• Contact & registration forms — business name, contact name, email, and any message you submit, stored in our database to respond to you and process your order.
• Payments — handled by Stripe (card payments) and MTN Mobile Money. We never see or store your full card number; Stripe and MTN process that directly. We do store the transaction status, amount, and a reference ID to match payments to your license.
• License & download activity — which license is issued to which registration, and when download links are used, so we can support you and manage renewals.
• The Uri chat widget — messages you type into the chat bubble on this site are sent to DeepSeek (our AI provider) to generate a reply. We do not store your chat conversations on our servers; each conversation exists only in your browser for that session.
• Basic technical data — your IP address is used for rate-limiting (preventing abuse of our forms and chat widget) and is not used for tracking or advertising.

3. Third Parties We Use

• Stripe — payment processing (card payments)
• MTN Mobile Money — payment processing (Mobile Money)
• DeepSeek — powers the Uri chat widget's responses

Each of these providers has its own privacy practices governing the data that passes through them. We only share what's needed for them to perform their function (e.g., payment amount and your email for Stripe; your typed message for DeepSeek). Some of these providers may process data on servers located outside Rwanda; by using this website and these features, you consent to that transfer.

4. Data Retention

We keep registration, payment, and license records for as long as needed to support your purchase and comply with reasonable business record-keeping. Chat widget conversations are not retained by us at all beyond the momentary processing needed to generate a reply.

5. Security

We take reasonable technical and organizational measures to protect the data we hold, including encrypted connections (HTTPS), password hashing, and access controls on our admin systems. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Since our products process your business data locally rather than on our servers, the security of that data on your own computer is your responsibility.

6. Children's Privacy

Our products and website are intended for use by businesses and individuals 18 years of age or older. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, contact us at hello@ubwiruai.com and we will delete it.

7. Your Rights

You can ask us to access, correct, or delete the personal information we hold about you (business registration and payment records) by emailing hello@ubwiruai.com. We'll respond within a reasonable time.

8. Changes to This Policy

We may update this policy as our products or website change. We'll update the date at the top of this page when we do.
